The Administration Manager will be responsible for overseeing and managing all administrative functions and transportation services at the Resort. This role ensures efficient and effective operations, high standards of customer service, and compliance with all relevant policies and regulations. The ideal candidate will be a proactive leader with excellent organizational, communication, and problem-solving skills.
Roles & ResponsibilitiesOversee and manage the daily operations of the administrative department. Develop and implement administrative policies and procedures to ensure operational efficiency. Supervise administrative staff, providing guidance, training, and performance evaluations.
Manage budgets, expenses, and procurement processes for the administrative department. Ensure compliance with all resort policies, local regulations, and industry standards. Coordinate with other departments to streamline operations and improve service delivery.
Maintain accurate and organized records, including contracts, licenses, and other important documents. Ensure data security and confidentiality. Oversee the transportation services provided by the resort, including guest shuttles, staff transportation, and logistics.
Ensure that transportation services are punctual, safe, and meet the highest standards of customer service. Manage transportation schedules, vehicle maintenance, and driver assignments. Implement and enforce safety protocols and procedures for all transportation activities.
Coordinate with external transportation providers and vendors as needed. Monitor transportation expenses and optimize costs while maintaining service quality. Manage the resort’s fleet of vehicles, including maintenance, repairs, and regular servicing.
Develop and implement a preventive maintenance schedule to ensure vehicle safety and reliability. Maintain accurate records of vehicle usage, fuel consumption, and maintenance history. Ensure timely renewal of vehicle fitness certificate, pollution and insurance of the vehicles.
Address and resolve any transportation-related issues or complaints from guests and staff. Maintaining and renewing statutory licenses such as Trade License, Fire NOC, Occupancy certificate, property tax etc. Maintenance of staff accommodation and renewing of rental agreements as per the due dates.
Maintain telephone bills and staff CUG numbers. Planning and maintenance of Administrative budgets. Monitor expenses and implement cost-saving measures where necessary.
Coordinate and manage events and activities at the resort. Liaise with event planners, vendors, and guests to ensure successful event execution. Oversee logistics and support for events.
Desired Profile:Bachelor’s degree in Business Administration, Hospitality Management, or a related Minimum of 08 years of experience in administration and transportation/vehicle management, preferably in a hospitality or resort setting. Strong organizational and multitasking abilities. Effective communication and interpersonal skills.
Proficiency in MS Office Suite and relevant administrative software. Knowledge of vehicle maintenance and transportation logistics. High level of integrity and professionalism.
Detail-oriented with a proactive approach to problem-solving. Ability to work under pressure and meet deadlines. This role requires flexibility, with occasional work outside regular hours to meet operational needs.
The Manager may need to be on-call to address urgent transportation or administrative issues.
