Full Job Description
Urgently required a smart & hard working HR-Administration Executive at Kolkata based online shopping firm with proven intelligence & at least 6 months experience.
* Candidate must be smart, hard working with efficiency in spoken & written English & computer literate with good knowledge in MS-Office (Ms-Word, Ms-Excel & Ms-PowerPoint).
* Freshers can apply too with appropriate industry exposures & fast working skills, efficiency in spoken & written English with good knowledge in MS-Office.
Responsibilities and Duties :
* Should be responsible to look after the entire Administration and office management tasks at both offices (Head Office & Branch Office) which includes cleanliness management , security management, Office rules & regulations etc.
* Responsible for liaising with Govt/ Pvt office/ legal authorities / bank and in PF & ESI related matters.
* Should maintain proper documentation / report against all HR-Administration related matters / tasks on daily basis and report at day end to superior.
* Need to co-ordinate with different vendors for maintenance and repairing related tasks as and whenever required for both offices.
* Need to collect quotations & negotiate costs as much as possible against any purchase/ servicing / maintenance / repairing with vendors / mechanic/ service providers and proceed for the same only after approval of quotations.
* Responsible for preparation, inspect & validate relevant vouchers & invoices and pass the same to accounts dept.
* Responsible to search & maintain data / contact numbers of various mechanics, carpenter, electrician, plumber with at least 2 alternate options to get urgent support as & whenever required.
* Responsible to search & maintain a strong database of online & offline recruitment consultancy details and should be in touch with them to shortlist suitable candidates for various positions as per vacancy.at both
* Responsible to maintain discipline & Office in time & out time among all employees & should warn / report if any deviation is observed.
* Need to coordinate with technical team to get bio-metric attendance of all employees and responsible for attendance & salary report preparation after checking them thoroughly at month end.
* Need to visit head office at least 3 times weekly for various administration, maintenance, servicing, inspection & recruitment related matters.
* Responsible for purchase of various office equipment, stationery items, packing boxes.
* Responsible to follow up corporate clients for bulk / corporate orders through emails, whats-app / calls.
